Owners and Admins can invite and manage contacts for their account from the Contacts page.
Using the "Add New Contacts" section on the left side of the page, Owners/Admins can type or paste in email addresses and invite contacts at the "User" or "Admin" level. Once a new contact has been invited, a corresponding row will be displayed in the contacts table.
Note: After the initial invite, contacts will receive follow up reminder emails for the next few weeks until they accept or decline their invitation by default.
The "Resend All Pending" button allows Owners/Admins to resend open invitations to all current "Invited Contacts." To help clarify this action and prevent accidental spamming, the Owner/Admin is prompted with a confirmation before this action is performed by the system.
If the account created a custom invite code as part of the launch or workshop process, the Owner/Admin can click the "Copy Invite Link" in the top right of the page. This will copy the custom invite link for their account and allow them to share it via their social media, website, etc. to invite more contacts.
Note: Contacts that create an account with this link will be created with the "User" role.
The contacts table allows for Owners/Admins to manage several aspects of their invited and created contacts . There are several navigational tools provided in the table, such as search, filters and page selectors to aid customers in finding contacts quickly.
Each contact row in the table allows for a few actions to be taken, some of which are dependent on whether the contact has accepted their invitation or not.
• Resend Invite — this option is only available to contacts who have not yet accepted their invitation and allows for the Owner/Admin to resend the invitation email to the contact.
• Copy Link — this option is also only available to contacts who have not yet accepted their invitation and allows for the Owner/Admin to copy the contact's specific invite link and send it to them directly via a communication app outside of RightNow Media (email, text, chat, etc.)
• Role dropdown — this option is available to both invited and created contacts and allows the Owner/Admin to modify the role of the contact. This option is not available on the Owner role, which can only be switch by a RightNow Media staff through Concierge (see here). Note: The contact will be notified of the role change via a system email.
• Delete — this option is available to both invited and created contacts and allows the Owner/Admin to remove site access to the contact. This option is not available on the Owner role. Note: The contact will not be notified of their removal.
